Because the first draft has already been saved in a file on disk, all you need to do is retrieve the letter, make the necessary changes, print it for approval, and then save the edited letter.   Retrieving the Letter The List Files feature can be used to retrieve the letter from the file on your disk. To display a list of files on disk, ÿÍÿÍÿ Press List Files and then press Enter ² 3,12  List Files is WordPerfect's file manager. You can search for a filename by pressing "n" for Name Search and then typing the filename. Let's find "park.tut" on the list. ÿÍÿÍÿ Search for "Park.tut" n park.tut  How many characters of the filename did you type before the cursor moved to the right filename? The first few characters may find the file. To end the filename search, press Enter. ÿÍÿÍÿ End the Search  Notice the List Files menu at the bottom of the list. ÿÍÿÍÿ Retrieve "park.tut" 1,11,41,13  ÿ Press "r" to retrieve the file. r  0,1 ¼  A copy of the file is retrieved from the disk to the WordPerfect screen. This is only a copy; the original contents stay in the file on disk in case you want to start over again.   Typeover With a copy of the first draft on the screen, you are ready to begin making changes. Checking the edited letter, it appears that the conference has been moved to December 6, 7, and 8.   Let's use the Search key again. But this time to find a date in the letter. ÿÍÿÍÿ Search for 1, ¯  ÿ You are prompted to enter the search criteria. ÿÍÿÍÿ Find a 1 followed by a comma 1,  To start the search, just press the Search key again. ÍÍÿ Start the search ¯  Good! The Search keys can save you a lot of time in finding words and phrases, especially in large documents.   Insert v. Typeover Good! Most word processors have two ways to edit text: insert and typeover. The difference is in how existing text is treated. Let's insert the date corrections. ÿÍÿÍÿ Move under the "1" and Type: 6, 7, and 8 ¾¾ Type: 6, 7, and 8 or press Ins to skip typing 6Å1,6Å 1,Å notype1 type1  notype1 Å6, 7, and 8  end1 type1 , 7, and 8 end1  In Insert mode, existing text makes room for new text by moving forward. This is the default edit mode in WordPerfect. ÍÍÿ Delete the text just typed     Typeover replaces characters as you type. Let's try it. The Insert/Typeover key is labeled Ins and is found at the lower- right of the keyboard. Press it once for Typeover and once again to return to Insert. ÿÍÿÍÿ Turn Typeover on Å  ÿ Notice the "Typeover" message on the screen, telling you that typeover is on. Instead of erasing each date and then typing the new date, the text will be replaced as you type. ÿÍÿÍÿ Type: 6, 7, and 8 Type: 6, 7, and 8 or press Ins to skip typing 6Å1,6Å 1,Å notype2 type2  notype2 Å6, 7, and 8  end2 type2 , 7, and 8 end2  Pressing the Ins key turns Typeover on and off. ÿÍÿÍÿ Turn Typeover off Å  Moving a Sentence The "minimum number of persons" sentence needs to be moved to the beginning of the second paragraph. One way of moving the sentence would be to erase it using Backspace and then retype it at the new location.   However, the Move feature lets you copy or move any amount of text from one place to another without having to retype. To move a sentence, you simply move the cursor to that sentence and press Move (Ctrl-F4). ÿÍÿÍÿ Position the cursor and press the Move key   Ô  ÿ The menu asks if you want to move the sentence, paragraph, or page on which the cursor is resting. ÿÍÿÍÿ Select "Sentence" from the menu 1  ÿ The entire sentence is immediately highlighted so you can see the text to be moved. The highlighted text can be moved, copied or erased. ÿÍÿÍÿ Select Move m  The sentence is removed from the screen and saved in a special file. All that is left is to move the cursor where you want to "paste" the sentence and press Enter. ÍÍÿ Position the cursorþþ º¾ÃÃÃÃà  To retrieve the sentence, just press Enter. ÿÍÿÍÿ Retrieve the text  That's all there is to it. Here's a review of moving a sentence. ÿù Move the cursor (to the sentence) ÿù Press the Move key (and make a selection) ÿù Move the cursor (to the new location) ÿù Press Enter   Centering The Letter On The Page A short letter looks better on the page if it is centered between the top and bottom margins.   You could move to the beginning of the letter and add a few empty lines to force the text down the page. However, WordPerfect provides a Center Page Top to Bottom feature that does all the work for you. ÿÍÿÍÿ Move to the top of the page ¼  The Center Page feature is found on the Format key. ÿÍÿÍÿ Press the Format key and select Pageþþ  Î 4,7,14,9  2 - Page p 4,1,37,3  1 - Center Page (top to bottom)  Notice the Center Page option at the top of the menu. All you have to do is type 1 or c and press Exit to leave the menu. ÿÍÿÍÿ Select Center Page and Exit the menuþþ  cy 39,1,44,3  Yes ´   Note! While the letter is not centered on the document screen, the Print key has a feature that lets you preview the letter on the screen just as it will appear when printed.   Looking into a File At the beginning of the lesson it was noted that the retrieved letter (on screen) is only a copy of the saved letter (on disk). If that is true, the dates in the letter on disk should be different than the letter on your screen.   Let's check to see if the file on disk remains untouched. This can be done using the Look feature in List Files. To display the list of files on disk, ÿÍÿÍÿ Press List Files and then Enterþþ ² 3,12  To look inside a file without retrieving, move the highlight bar to the filename and select Look from the menu at the bottom of the screen.   Name Search ÿ We previously used the Search key to highlight the file. Pressing "n" (name search) and then typing the filename does the same thing. ÿÍÿÍÿ Find "park.tut" n  ÿÍÿÍÿ Type the filename park.tut  ÿ Notice that option number 6 is the Look feature. Let's peek inside. ÿÍÿÍÿ Look into the file 6 0,1  Notice that the dates are the original 1, 2, and 3. The file on disk is as it was when you first retrieved. Although the letter can be scrolled, it cannot be edited while in Look. ÿÍÿÍÿ Exit the Look screen ´  3,12  You can peek inside any file by highlighting the name and selecting look. ÿÍÿÍÿ Exit List Files ´ 0,1  Replacing the File On Disk Although the letter on file and the edited copy on your screen are now different, they both have the same filename. Because the letter in the file on disk is no longer needed, it can be replaced with the letter on your screen (in memory).   Replacing the letter on disk is almost identical in keystrokes to what you did to save the original letter. Let's see how it works. ÿÍÿÍÿ Replace "Park.tut" on disk ´  ÿ The "Save Document?" appears. Notice that the word "Yes" appears at the end of the prompt. Pressing any key on the keyboard except "N" or "n" is the same as answering yes. ÿÍÿÍÿ Save the letter  The name "Park.tut" appears next to the "Document to be Saved:" message. WordPerfect always displays the name of the file here so that you do not have to retype the name so often. ÿÍÿÍÿ Press Enter to use the "Park.tut" nameþþ   WordPerfect checks to see if there is another file on disk with the same name. Because the "Park.tut" filename already exists, WordPerfect asks if you want to replace the original letter with the edited copy on the screen.   Suppose, at the last minute, you decide to keep the original letter as a record of the change in conference dates. Is it too late? Not at all. Simply answer no and enter another filename, or press Cancel to return to the letter. ÿÍÿÍÿ Press Cancel to back out of the Exit prompts ®®  There you go! The Cancel key will cancel most prompts and all menus.
